How to Use This Cash Flow Statement Template

Welcome! This template is designed to help vacation rental property managers create clear, accurate monthly cash flow statements.

To get started, fill out the form to download the template. Then, make a copy to customize for your business.

1. Cash Receipts

Summarizes all incoming cash flows for the period.

  • Booking Revenue: Payments received directly from guests.
  • OTA Fees: Amounts received from platforms like Airbnb or VRBO, net of their commissions.
  • Owner Contributions: Cash the property owner contributes for expenses, repairs, or reserves.
  • Other Income: Includes damage protection payouts, interest income, tax refunds, cleaning fees, guest service fees, or miscellaneous items.

2. Cash Payments

Summarizes all outgoing cash flows.

  • Cost of Goods Sold (COGS): Direct costs tied to guest stays (linens, consumables, welcome gifts, etc.).
  • Operating Expenses: Regular costs of running the business (utilities, payroll, maintenance, insurance, etc.).
  • Additional Expenses: Any extraordinary or one-time costs (capital improvements, technology subscriptions, legal fees).

3. Cash Summary

Gives you a snapshot of financial position at the end of the period.

  • Beginning Cash Balance: Carry-over from prior month.
  • Net Cash Change: Total inflows minus total outflows.
  • Ending Cash Position: Cash available at the close of the period.

Statement Summary

  • Total Receipts: Sum of all inflows.
  • Total Payments: Sum of all outflows.
  • Net Change: Increase or decrease in cash over the reporting period.
  • Ending Balance: Final cash available (this should match your bank account reconciliation).

Recommended Use

  • Make a copy of this spreadsheet to use.
  • Create a new tab for each month.
  • Update receipts and payments rows using your PMS, reservation, or accounting system.
  • Record expenses from your cards or accounting software (or automate expense tracking with Topkey).
  • Use formulas to ensure consistency and automate calculations.
  • Add your company’s logo and contact info before sharing.

Sending to Owners or Internal Teams: Export the completed statement as a PDF. You may wish to include supporting receipts or explanations for unusual entries.
